Job Summary
The Executive Assistant to the Founder (Intern) will provide administrative and strategic support to the Founder by managing schedules, coordinating meetings, organising communications, and assisting with executive operations.
The successful candidate will work closely with the Founder to ensure priorities are tracked, tasks are completed efficiently, and executive operations run smoothly. This position is ideal for someone interested in executive administration, project coordination, and nonprofit leadership.
Key Responsibilities
Executive Office Support
- Manage the Founder’s calendar, schedules, and priorities.
- Coordinate Board of Trustees and Advisory Board meetings.
- Prepare meeting agendas, briefing notes, and documentation.
- Track action points and ensure timely follow-up.
- Represent the Founder at selected meetings when required.
- Coordinate calls and maintain communication with stakeholders.
- Screen and organise emails and correspondence.
- Draft responses and follow-up communications.
- Support senior leadership meetings by preparing agendas and taking minutes.
External Relations and Communications
- Coordinate stakeholder meetings and donor engagements.
- Prepare reports, proposals, presentations, and correspondence.
- Assist with website updates and social media management.
- Maintain professional communication with partners and stakeholders.
- Document partnership meetings and external engagements.
Operational and Administrative Support
- Maintain organised digital and physical filing systems.
- Assist with expense documentation and administrative processes.
- Support travel planning, accommodation bookings, and meeting itineraries.
- Provide personal administrative support where required.
- Handle confidential information with professionalism and discretion.
Cross-Functional Coordination
- Liaise with department heads to gather reports and updates.
- Support collaboration between executive leadership and internal teams.
- Monitor deliverables, deadlines, and action items.
- Help improve workflow efficiency within the Executive Office.
Systems and Process Improvement
- Assist in reviewing internal workflows.
- Support the use of digital collaboration tools, including Google Workspace, ClickUp, and Zoom.
- Recommend improvements that enhance productivity and coordination.
Requirements

- A Bachelor’s Degree in a relevant discipline.
- Between 0 and 2 years of experience in executive support, administration, or project coordination.
- Experience within nonprofit or mission-driven organisations is an added advantage.
