Job Summary
The Medical Assistant will support the Migration Health Assessment Centre (MHAC) by providing information to migrants, scheduling medical appointments, processing applicant records, and maintaining accurate documentation.
Depending on operational requirements, the successful candidate may be assigned to either the Call Centre Unit or the Reception and Data Processing Unit.
Key Responsibilities
Call Centre Responsibilities
- Provide information to migrants regarding health assessments through phone calls and emails.
- Register applicants in the IOM database.
- Schedule and confirm medical appointments.
- Receive and communicate messages between medical staff and applicants.
- Prepare daily lists of migrants scheduled for health assessments.
- Maintain health assessment statistics and records.
- Support customer satisfaction monitoring and reporting.
Reception and Data Processing Responsibilities
- Guide applicants through the registration process.
- Verify applicants’ identities before processing.
- Enter applicants’ biodata into the appropriate database.
- Capture and upload applicant photographs using approved devices.
- Print medical examination forms, consent forms, and other required documents.
- Receive completed medical records and X-rays from partner offices and physicians.
- Prepare and package medical files during mobile health assessment missions.
- Send completed medical documents and DNA packages through approved electronic or courier channels.
- Maintain proper filing of letters, reports, emails, and medical documentation.
- Process proof of payment records and forward them to the Finance Unit.
- Carry out other duties assigned by management.
Educational Qualifications
Applicants must possess either:
- A University Degree in Computer Science, Information Technology, Information Management, Statistics, Social Sciences, Business Administration, or a related discipline with at least two (2) years of relevant work experience.
Or
- A Secondary School Diploma with a minimum of four (4) years of relevant work experience.
A certificate in Information Technology or Data Entry will be an added advantage.
Experience Requirements
Candidates should have:
- Experience in computer data entry, data processing, data analysis, or call centre operations.
- Previous experience in a busy medical institution is desirable.
- Knowledge of medical terminology.
- Previous secretarial or records management experience.
- Experience working with NGOs or international organizations is an added advantage.
- Strong computer literacy, especially Microsoft Office applications.
- Knowledge of web design or data analysis will be an added advantage.
Required Skills
Successful candidates should possess:
- Excellent communication and interpersonal skills.
- Strong customer service orientation.
- Ability to multitask and manage competing priorities.
- High attention to detail and accuracy.
- Typing speed of at least 60 words per minute.
- Proficiency in Microsoft Excel, Word, PowerPoint, Publisher, and SharePoint.
- Ability to work with minimal supervision.
- Willingness to work flexible hours when required.
