Personal Assistant to the Managing Director – Factory Matters at Vixa Healthcare
Vixa Healthcare is a manufacturing company seeking a qualified professional to provide direct support to the Managing Director in the day-to-day oversight and coordination of factory operations.
Job Summary
The Personal Assistant to the Managing Director – Factory Matters will serve as a key link between the Managing Director and the factory management team.
The successful candidate will support factory performance monitoring, data analysis, coordination, project tracking, administrative activities, and the execution of management directives across factory departments.
Key Responsibilities
Factory Operations and Data Analytics
- Attend daily and weekly production meetings with the Managing Director, take minutes, and track action points through to completion.
- Monitor, analyse, and report production KPIs, including output, downtime, OEE, yield, quality, waste, and safety.
- Build dashboards and reports using Excel and Power BI to provide insights and identify performance trends.
- Conduct spot checks and factory-floor visits to verify operational issues and provide data-backed feedback.
- Follow up with Heads of Department in Production, QA, Maintenance, Warehouse, and HSE on deadlines and deliverables.
Coordination and Communication
- Act as a liaison between the Managing Director and the factory management team.
- Prepare executive briefs, presentations, and factory performance reports for the MD and Board.
- Schedule and coordinate the MD’s factory visits, inspections, and meetings.
- Escalate urgent factory issues to the MD with clear data and recommendations.
Project and Task Management
- Track MD directives relating to factory projects, CAPEX, cost-saving initiatives, and process improvements.
- Support the coordination of new product trials, plant maintenance schedules, and regulatory audits.
- Maintain factory documents, including SOPs, reports, regulatory filings, and meeting notes.
Administrative and Confidential Support
- Manage the MD’s factory-related calendar, correspondence, and documents.
- Handle confidential information with discretion and professionalism.
- Prepare memos, letters, presentations, and other documents on behalf of the MD.
Required Qualifications and Experience
- B.Sc or HND in Pharmacology or a related discipline.
- 3–5 years of experience in a production or manufacturing factory.
- Experience in FMCG or pharmaceutical manufacturing is an advantage.
- Must have worked closely with senior management or in an operations coordination role.
- Familiarity with production processes, GMP, HSE, and factory KPIs.
Key Skills and Competencies
- Strong Excel skills.
- Experience with Power BI, Tableau, or similar dashboard tools.
- Ability to interpret production data and present useful insights.
- Strong organisational, multitasking, and follow-through skills.
- Excellent written and verbal communication skills.
- Analytical mindset with the ability to turn raw data into actionable recommendations.
- Proactive, resourceful, and able to work with minimal supervision.
- High level of integrity, discretion, and professionalism.
- Proficiency in Microsoft Excel, PowerPoint, and Word.
- ERP knowledge is an advantage.
- Comfortable spending time on the factory floor.
